Most of the personal information we process is provided to us directly by you via the Nexudus platform or/and www.digitaldockbrentford.com website for one of the following reasons:

  • To register and provide you with an account on Digital Dock Brentford (via the Nexudus platform)
  • Via email where you have made contact with us.

If it is not disproportionate or prejudicial, we’ll contact you to let you know we are processing your personal information. ​

Our Lawful basis for processing your information

The lawful basis we rely on for processing this information is for the purpose of fulfilling a contract.

For marketing emails, we rely on your consent.

Why we need your information (purposes of processing)

The personal data we collect will be used for the following purposes:

  • To register and provide you with an account on Digital Dock Brentford (via the Nexudus platform)
  • To allow you to enter our building
  • To access our website to book, change time for resources (desks, workstations, meeting rooms and private offices) available at Digital Dock.
  • To invoice billing information to make payments
  • Where you have subscribed to our newsletter (to send you promotional offers and discounts for Digital dock Brentford).

 

Who your information may be shared with (internally and externally)?

Nexudus Platform/Support – we also share your information with Nexudus’ partners which help to deliver this service to you such as:

  • DoorFlow: Which is an access-controlled system that automates access to a building and the different areas within space.
  • Stripe payments: To process card payments from customers

Internally your information will be shared with the London Borough of Hounslow Finance team for payments/reconciliation.

The partners listed above are required to carry out our contract with you, your information will not be used for marketing purposes.

We will strive to ensure that any personal data in our care will be kept safe and that where your information is disclosed to a third party working on our behalf, we will seek to ensure that they have sufficient systems and procedures in place to prevent the loss or damage of personal data.

How long we keep your information

The personal information sets listed above are kept for a length of 2 years.

  • Where an account is inactive for 2 years their information is automatically deleted
  • When a customer requests to close their account, we will keep their information for a further 6 months before secure deletion. The information is kept for this extended amount of time to deal with any complaints.
